Introduction
There are many events within the franchisee lifecycle that can be reflected in FranchiseBlast. You may need to remove access. This article covers the following scenarios:
1. Remove User Access for One Location
Remove access for a franchisee or staff member, while they still have access for others. This could be where a staff member is getting removed from a store due to a change in shifts, but he or she has access to other stores, for example. You can see this below, at Deactivating User's Access to Stores.
2. Transfer One Location from One Franchisee to the Other
Transfer locations from one franchisee to another. This could be in the case of a franchisee re-sale.See our checklist on Transferring Locations
3. Removing a User
Deactivate user completely. This is in the case of a person getting terminated or selling the franchise and leaving the system. For those instructions, please see Deactivating User Access.
Remove User's Access to Stores
This scenario covers when a user no longer needs access to a store, as shown in the image marked "1" above.
Remove Access to a Single Location
If no one else has access to the store group that needs to have access, then you can remove the location from the store group that these people have access to. Sometimes a husband and wife team will own a franchise group in a multiunit, and they all need to have the store removed for everyone involved.
Go to Administration --> Stores --> Store Groups and select the group that the person has access to.
Go to the Stores tab and click an x beside the store name.
Click on the x next to the store name. Then click "save and close" on the bottom right.
Remove Access to a Single Location When Others Do Need Access
If there are others who still need access to the group, then duplicate the group.
You can do that by going to the top right click on the + to launch the store creation wizard.
Name the group, and select the group that you want to duplicate under Similar Store Group and click Create Store Group.
Go to the Users tab, and remove access for the person who you want to take away by searching on their e-mail address and unchecking the box.
Go back to the original store group, and click on the Store Group Access tab. Remove the store in the new group by going to the stores tab and click an x beside the store name then click Save.
Remove all users by unchecking the boxes to the old group, but otherwise, the old group remains in tact. Then save. You can see more information on managing store group access here.
Transfer a Location from One Franchisee to Another - a Checklist
This scenario covers scenario marked "2" in the image at the beginning of the article.
Regarding the previous owner(s)
First, you want to remove access for the old owner and their staff.
- Ensure you deactivate individual accounts from the system if they are not part of the organization anymore, if applicable
- Ensure you review store group access for those people, they shouldn't have access to that location anymore. See instructions above on if others still need access to the group.
- Ensure that the previous owner(s) aren't part of any Team in the Store Staff of the location being transfered
Regarding the new owner(s)
Second, you want to add access for the new owner and their staff.
- Ensure that these users have an active account in FranchiseBlast. If they do not, invite them. If the user is inactive for any reason, learn how to activate an account here.
- Ensure that these users have access to the location being transfered to them
- Ensure that these users are part of the appropriate Team within the Store Staff of that location i.e. "Franchisee"
