Uploading documents is a great way to share information with your franchisees. Even though it is called the "Document Repository", you can share several different kinds of files including audio, video and images.

If you are looking for a resource to access documents for franchisees or other team members, please take a look at Accessing Documents for Franchisees

Adding and Removing Documents

Go to Collaboration > Documents then click Manage. Note: If folders have been previously created, you should see them listed. Simply click on the folder that you would like to add a file to then click the blue manage button on the top right.

Adding Documents

Once inside the folder, choose the upload button shown on the bottom right.

Choose the file or document you wish to upload. Once uploaded, you will then see your file listed.

Removing Documents

Remove documents by clicking on the red X on the right.

Moving Documents

Sometimes you want to move documents, such as when you want to put a very important document at the top of the list.

Select the document that you want to move. Click Move Selected at the bottom of the list.  In this example, we want to move the out of this folder, and into the Training Documents folder.

The selected document gets highlighted in blue, and the destination gets highlighted in green. Tap the destination to select the destination.

Click the blue button on the bottom saying Move to: <Destination Folder Name>  to finish the process.

Troubleshooting Document Upload Issues

The document repository accepts many file formats, including document, images, audio, and video. If you are having difficulty uploading a file, please try the following:

  • Check the naming convention of the file. If there are special characters such as a colon (:), please rename the file without these characters.
  • Check that the file is smaller than 100 MB. If it is larger than that, please go to http://bigfiles.franchiseblast.com and navigate to your document repository again and try uploading the file.
  • If neither of these work, please e-mail support at support@franchiseblast.com and one of our associates will upload the file for you.

Managing Folders

Working with folders helps you stay organized with your files, and helps your franchisees and team discover material.  You can also add access controls for your folders, ensuring that the right people see the right materials.

Add Folders

Choose the green plus after clicking the blue manage button.

Click the folder icon, and you will get the opportunity to name and describe the folder.

Remove Folders

To remove a folder, click on the red X on the right.

Access Controls

You can manage access controls for folders by:

  • Roles
  • Users
  • Stores

To get started, click on Settings to the left of the folder.

Roles allow you to access depending on the role in the organization. For example, you can select the folder to be viewable by a Franchisee role only. This is an opportunity to allow franchisees only to view the files. You can choose multiple roles in your organization.

Users allow you to select specific users to share information with. In this example, there is one user, but you can add as many as you like.

Stores allows you to share the folder with a specific set of franchisees. For example, this HR tool could be used for California only, so the Beverly Hills and Sherman Oaks stores only can see it.

Save and Close to complete the process.
